Aulency or a spreadsheet and WhatsApp

A spreadsheet organizes records and calculates totals with formulas. Connecting lessons, invoices, notifications and payment evidence requires a workflow you maintain.

Formulas calculate; you maintain the rules

A spreadsheet can calculate totals and retain lesson history. You still enter lessons and cancellations, maintain formulas and check each student’s billing period. In Aulency, completed lessons enter that student’s invoice on billing day. You can import student records from your spreadsheet.

Chasing payment on WhatsApp takes time

Send the amount, send the PIX key, wait for the proof of payment, then search the chat for it. In Aulency, the student opens the invoice and pays with the QR code or the copy-and-paste code for your PIX. Then they report the payment in the portal and you confirm it with one click. On Professional, they can also pay by card or boleto through Stripe, and the payment is confirmed automatically.

Sharing a spreadsheet requires access management

You can share a spreadsheet and links to payment evidence, but you need to separate records and manage permissions. Aulency’s portal brings together each student’s upcoming lessons, reports, invoices and receipts. Adult students have their own access; parents can follow their dependents from one account.

Criteria and sources

Each row compares the workflow it describes. “Partial” includes a different scope, configuration or edition limits. “Not built in” does not mean the workflow cannot be built with integrations. We consider Google Sheets with WhatsApp, Notion Free and paid plans, and Classroom with personal accounts and Google Workspace for Education.

  • Spreadsheet and WhatsApp: Google Sheets supports formulas, sharing and file links. A shared spreadsheet does not by itself provide Aulency’s invoice workflow and individual portal.

When a spreadsheet is still enough

If you have two or three students, get paid by PIX on the same day and never have to show anything to anyone, the spreadsheet does the job and switching makes no sense. Aulency becomes worth it when checking the month starts to take time, when a student pays late without you noticing or when a parent asks for the lesson history.
